Part-time Leave Advisor

The Leave Advisor manages the day-to-day administration of employee leave programs in the United States, including Short-Term Disability (STD), Long-Term Disability (LTD), FMLA, and state-mandated leave programs. This role works closely with an outsourced leave administration partner to ensure accurate case management, regulatory compliance, and a positive employee experience. The position also supports the administration of ADA workplace accommodations, partnering with HR, managers, and vendors to ensure timely, compliant, and consistent outcomes. 

This is a part-time role focused on operational execution, employee support, and compliance. 

 

Key Responsibilities 

Leave Administration (STD, LTD, FMLA & State Leaves) 

  • Administer U.S. leave of absence programs, including STD, LTD, FMLA, and applicable state and local leave programs. 
  • Manage leave cases from intake through return to work, ensuring accurate documentation, eligibility determination, and timely follow-up. 
  • Partner with the outsourced leave administration vendor to coordinate leave approvals, extensions, denials, and return-to-work actions. 
  • Monitor vendor data accuracy and case progression; escalate issues or discrepancies as appropriate. 
  • Ensure leave designations align with federal, state, and company policies. 

 

ADA & Workplace Accommodations 

  • Support the ADA interactive process for workplace accommodation requests. 
  • Coordinate with employees, managers, HR Business Partners, and medical reviewers to obtain documentation and evaluate accommodation needs. 
  • Track and maintain confidential accommodation records in compliance with legal and company requirements. 
  • Assist with implementation and monitoring of approved accommodations. 

 

Compliance & Policy Support 

  • Ensure compliance with FMLA, ADA, STD/LTD plan provisions, and applicable state leave laws. 
  • Apply company policies consistently while escalating complex or sensitive cases as needed. 
  • Maintain documentation to support compliance reviews, audits, and potential legal inquiries. 

 

Vendor & Stakeholder Coordination 

  • Act as a liaison between employees, HR Business Partners, Payroll, and the outsourced leave vendor. 
  • Coordinate with Payroll to ensure correct pay status, benefit continuation, and leave-related deductions. 
  • Respond to employee inquiries regarding leave status, required documentation, and next steps with empathy and clarity. 

 

Data, Systems & Reporting 

  • Maintain accurate leave and accommodation data in HRIS and vendor platforms. 
  • Track case metrics, deadlines, and return-to-work status. 
  • Prepare standard reports and support ad hoc data requests related to leaves and accommodations. 
  • Utilize Microsoft Excel and related tools to review data and support reconciliations. 

 

Technology & Continuous Improvement 

  • Use Microsoft tools (Excel, Outlook, Teams, SharePoint) to manage workflows and documentation. 
  • Leverage approved AI-enabled tools (e.g., Copilot or workflow automation) to improve accuracy, efficiency, and tracking. 
  • Contribute to process documentation and continuous improvement initiatives related to leave and accommodation. 

What will help you succeed

Required Qualifications & Experience 

  • Bachelor’s degree in Human Resources, Business Administration, or a related field, or equivalent practical experience. 
  • 2–4 years of experience administering employee leave programs and/or disability management. 
  • Working knowledge of FMLA, STD, LTD, ADA, and state leave programs. 
  • Experience working with an outsourced leave administration vendor. 
  • Familiarity with HRIS and leave management systems. 
  • Strong proficiency in Microsoft Excel and Microsoft Office tools. 
  • Ability to manage sensitive employee information with professionalism and discretion. 

 

Skills & Competencies 

  • Strong understanding of U.S. leave and accommodation compliance requirements. 
  • High attention to detail with the ability to manage multiple concurrent cases. 
  • Clear, empathetic communication skills when working with employees and managers. 
  • Strong organizational, documentation, and follow-up skills. 
  • Ability to work independently within established guidelines. 
  • Collaborative approach with HR, Payroll, and external partners. 

Preferred Qualifications (A Plus) 

  • Experience administering state paid family and medical leave programs. 
  • Experience supporting return-to-work or transitional duty processes. 
  • Familiarity with accommodation tracking or case management tools. 
  • Experience with HR systems such as SuccessFactors or similar. 
  • Interest in improving HR operations through technology and automation and AI.
